Connecting Gmail or Outlook

Connecting Gmail or Outlook lets Satsuma scan your inbox automatically on a schedule. The first scan goes back 6 months to backfill your history — after that it scans only for new mail.

Connecting Gmail

  1. Go to Settings → Email Sources
  2. Click Connect Gmail
  3. Google's OAuth screen opens — sign in and grant read-only access to your Gmail (gmail.readonly scope). Satsuma cannot read your full inbox — only messages that match its search filter.
  4. After authorising, you're redirected back to Email Sources
  5. Click Add source, select your Gmail account, choose what to scan for: Receipts, Transaction alerts, or Both
  6. Turn on Auto-scan to have it run on the scheduled interval

Connecting Outlook

The process is identical — click Connect Outlook and complete Microsoft's OAuth flow (Mail.Read scope).

What gets scanned

Satsuma does not read your whole inbox. It runs a targeted search for emails with subjects containing: receipt, order, confirmation, invoice, purchase, transaction, alert, notification, or statement — and skips anything in Spam.

For each matched message it decides:

  • Receipt — order confirmation, purchase receipt, invoice → parsed into a Receipt with line items
  • Bank alert — transaction/charge/debit/credit alert → parsed into a Transaction

How the scan runs

The scan is resumable and chunked so it never times out or runs out of memory. Satsuma:

  1. Fetches all matching message IDs in one pass (cheap)
  2. Processes them in small batches with a brief pause between each
  3. Updates the scan watermark — next run only fetches messages newer than the last scan

You can pause a running scan from the Email Sources page and resume it later.

Scan purpose

Each connected source has a scan purpose:

Setting What's scanned
Receipts only Only order confirmations and purchase receipts
Transaction alerts only Only bank charge/debit/credit alert emails
Both Receipts and bank alerts

What happens after a scan

After each scan completes, Satsuma automatically runs the matching engine on any new receipts — looking for transactions that belong to them. Matched pairs appear in the Review queue for confirmation.
