How Satsuma works and what to do first.
How Satsuma works
Satsuma is not connected to your bank. There's no bank sync, no Plaid, and no Open Banking integration. All of your financial data stays local on your own machine.
Instead, data comes in through three methods you control:
- CSV import — export a statement from your bank and upload it
- Email forwarding — forward receipts and bank alerts to a dedicated address
- Email scanning — connect your Gmail, Outlook, or any IMAP mailbox and Satsuma scans it automatically
Once data is in, Satsuma automatically categorizes your transactions using a cascade of rules, bank labels, a shared merchant directory, and a local AI model. It also tries to match receipts to transactions, and any open questions land in the Review queue for you to resolve.
First steps
1. Create your accounts
Before you can import anything, you need at least one account. Go to Settings → Accounts and click "Add Account". You'll fill in the account name, type (checking, savings, credit card, etc.), your bank name, and optionally the last four digits of your card number. That last-four field is what lets Satsuma route bank-alert emails to the right account later.
There's no auto-detection here — accounts are always created manually.
2. Get your data in
Pick the method that fits best:
- Quickest for history — export a CSV from your bank's website and use the CSV import tool (Transactions → Import)
- Ongoing, zero-effort — connect Gmail or Outlook under Settings → Email Sources. Satsuma scans back 6 months on the first run and keeps scanning automatically.
- Any email provider — set up IMAP/POP3 under Settings → Email Sources → IMAP / POP3
- Bank alerts as they happen — set up bank email alerts at your bank, then forward them to the
txns@address from Settings → Email Sources → Email Forwarding
3. Work through the Review queue
After import, go to Review. Satsuma will have auto-categorized most transactions and suggested receipt matches. The queue shows one card at a time and asks only what's still unresolved — confirm a suggested match, correct a category, or note that no receipt exists. When the queue is empty you're done.
