How Receipts Work

What receipts are, how they arrive, and what gets parsed.

How receipts work

A receipt is a parsed record of a purchase — merchant, date, total, and individual line items. Receipts are separate from transactions: a transaction comes from your bank and says how much you spent; a receipt comes from the merchant and says what you bought.

Satsuma links (matches) receipts to transactions so you have both views of the same purchase.

Where receipts come from

Receipts are created from emails:

  • Email forwarding — forward an order confirmation to receipts@… manually, or set up an auto-forward filter
  • Gmail / Outlook scan — Satsuma scans your inbox for receipt-like emails automatically
  • IMAP / POP3 scan — same as above, for any email provider

What gets extracted

Satsuma's local AI model reads the email and extracts:

  • Merchant name and receipt date
  • Subtotal, tax, tip, shipping, discounts
  • Total amount
  • Order number
  • Last four digits of the payment card (helps with matching)
  • Individual line items — each product/service on the receipt

Parsing confidence

The parser requires a confidence score above 50% before saving a receipt. Marketing emails, shipping status updates, and account statements are rejected. Emails you forward manually to receipts@ are treated as trusted — they're accepted on a lower signal since you explicitly chose to forward them.

Duplicate receipts

One order often generates multiple emails (order confirmation, shipping notice, delivery update). Satsuma deduplicates by checking for an existing receipt with the same total on a nearby date. If a duplicate arrives it keeps the more receipt-like version.
