Matching Receipts to Transactions

How Satsuma automatically links receipts to bank transactions.

Matching receipts to transactions

After a receipt is parsed, Satsuma runs the matching engine to find the corresponding bank transaction. This happens automatically whenever a new receipt or new transaction arrives.

How matching works

Satsuma scores candidate pairs on:

  • Amount — amounts must be within 5 cents of each other (hard requirement — a pair that fails this is never matched)
  • Merchant name — fuzzy similarity of at least 70% (also a hard requirement)
  • Date — how many days apart they are (a generous window of ±10 days is searched, with full credit up to ±3 days)
  • Card last four — if both the receipt and the transaction have a card number, an exact match adds significant confidence

A pair needs a combined confidence of 70 or higher to be auto-matched (shown as a pending match in the Review queue). Below that threshold, the pair may still appear as a suggestion.

Match statuses

Status Meaning
Unmatched No receipt linked
Pending A match was suggested; awaiting your confirmation
Matched Confirmed receipt link

Confirming and rejecting matches

In the Review queue, each pending match shows the suggested receipt alongside the transaction. You can:

  • Confirm Receipt & Approve — accept the match and move to the next card (one click)
  • Confirm — accept the match but stay on the card
  • Find Another — reject this suggestion and search for a different receipt manually
  • Reject — dismiss this pairing entirely. Satsuma remembers it was wrong and won't suggest it again

Manual matching

From any transaction detail page, click Link Receipt to search for and attach a receipt manually. From any receipt detail page, click Link Transaction to do the reverse.
